This policy describes how we process personal data through www.xentrix.gr, in line with Regulation (EU) 2016/679 (GDPR) and Greek Law 4624/2019.

It does not cover the data our customers process inside Flow or Sala. There, the customer is the controller and we act as processor, under a separate agreement.

What data we collect

Contact form

When you fill in the form we collect your name, email address, phone number (optional), business name (optional), the topic you choose and the text of your message.

Server logs

Our servers log the IP address, the date and time of each request and basic technical details of your browser. We use them only for security, troubleshooting and to protect the form from automated abuse.

Visit statistics

We count visits with an analytics tool that runs on our own servers (GoatCounter). It uses no cookies, stores nothing on your device and does not keep your IP address. It records only aggregate data: the page you viewed, the page you came from, the country, the browser type and the screen size.

What we don’t do

We don’t use advertising trackers, we don’t build user profiles, we don’t make automated decisions and we never sell or rent personal data.

Purposes and legal basis

• Replying to your request. Legal basis: taking steps at your request before entering into a contract (Article 6(1)(b) GDPR) and your consent, which you give with the checkbox on the form (Article 6(1)(a)).
• Security and abuse prevention. Legal basis: our legitimate interest in running the website securely (Article 6(1)(f)).
• Visit statistics, to know which pages are used and improve the website. Legal basis: our legitimate interest (Article 6(1)(f)). The data is aggregate and does not identify you.
• Compliance with legal obligations, where they apply (Article 6(1)(c)).

Providing your details is optional, but we need them to reply to you.

Retention

• Form messages: kept in our mailbox for as long as the conversation lasts and, if no cooperation follows, for up to 24 months after the last contact.
• Server logs: kept for a limited period of no more than 12 months, then deleted.
• Visit statistics: aggregate, with nothing that identifies you.

If we sign a contract, the retention periods in that contract and in tax law apply.

Recipients

Only the staff who handle your request can access your data. We also work with:

• A hosting provider. The website and our applications are hosted on servers inside the European Union (Germany).
• An email provider, to send and receive the messages from the form.

The fonts, images and videos of the website load from our own servers. The page loads no content from Google, YouTube or other third parties.

We never share data with third parties for commercial or advertising purposes.

Transfers outside the EU

Data is stored inside the EU and is not transferred outside it.

Your rights

You have the right to access, rectify and erase your data, to restrict or object to processing and to data portability. You can withdraw your consent at any time, without affecting the lawfulness of processing carried out before you withdrew it.

To exercise your rights, write to info@xentrix.gr. We reply within one month.

If you believe the processing breaks the law, you can lodge a complaint with the Hellenic Data Protection Authority (Kifisias 1-3, 115 23 Athens, www.dpa.gr).

Security

The website works only over an encrypted connection (HTTPS). We apply technical and organisational measures such as rate limits on the form, controlled access to our servers and regular security updates.

Minors

The website is meant for businesses and not for minors. We do not knowingly collect data of people under 16.

Changes to this policy

We may update this policy. Every change is published on this page with a new update date.
